Classify the information
Separate item, location and process identifiers from personal, patient, employee or customer information. Record what the tag, reader, application and reports each need, and keep collection limited to the stated operating purpose.

Assign accountable access
Map read, change, export, deletion, configuration and approval actions to named roles. Keep service identities separate from human accounts, and document who reviews access when responsibilities change.

Protect the physical boundary
Define where an observation is meaningful and which nearby people, items or movements are outside the workflow. Review mounting, cable paths, signage, operator procedures and any site-specific safety controls with the responsible site team.

Protect data in motion and at rest
Document the systems that receive identifiers and events, the interfaces between them, retention periods, backups and permitted exports. Treat encryption, credential handling and network controls as configuration and policy questions that require current project verification.

Plan failure and recovery
Specify the safe response to a missing tag, duplicate observation, offline reader, unavailable network, delayed response or uncertain identity. Make manual fallback, replay, reconciliation and return-to-service steps visible to the operators who own them.

Review evidence and change
Keep access reviews, configuration changes, incident decisions, test cases and acceptance records with the project baseline. Recheck the boundary when the item population, site, integration, retention rule or operating purpose changes; this guide does not claim legal compliance or a security certification.
